At ASTIN Aroma, we supply attars, fragrances and related fragrance products to retailers, distributors, resellers, businesses and other customers. Since many of our orders may be processed as wholesale or bulk orders, our return and refund terms may vary depending on the nature and quantity of the order.

We request customers to carefully review their order details before confirming an order.

1. Order Confirmation

Once a B2B or bulk order has been confirmed and processed, cancellation or modification may not always be possible.

Customers are requested to verify:

• Product name and variant
• Quantity
• Packaging requirements
• Delivery address
• Billing details
• Any agreed specifications

before confirming the order.

2. Damaged Products

If products are received damaged, broken or leaking, please inform ASTIN Aroma within 7 days of delivery.

Customers should provide:

• Order/invoice number
• Photographs of the damaged products
• Photographs of the outer packaging
• Shipping label details
• Unboxing video, where available

After reviewing the claim, our team may offer a replacement, credit adjustment or other suitable resolution depending on the circumstances.

3. Incorrect Product or Quantity

If you receive a product or quantity different from what was confirmed in your order, please contact us within 7 days of delivery.

After verification, ASTIN Aroma will review the discrepancy and, where the error is attributable to us, arrange an appropriate resolution.

4. Product Quality Issues

If you believe a product has a manufacturing defect or quality issue, please contact us with details of the issue and supporting photographs/videos.

Our team will evaluate the complaint and determine the appropriate resolution.

For B2B orders, quality claims may be subject to product inspection and verification.

5. Returns

Returns are generally considered only for products that are:

• Damaged during transportation
• Defective
• Incorrectly supplied
• Supplied in quantities different from the confirmed order

Products that have been opened, used, altered, repackaged or damaged after delivery may not qualify for return.

Returns of products due to change of mind, change in business requirements, unsold stock or personal fragrance preference may not be accepted.

6. Bulk & Wholesale Orders

For bulk, wholesale or customized orders, return and refund terms may be agreed separately before order confirmation.

Depending on the order size, product type and agreed commercial terms, ASTIN Aroma may provide:

• Replacement of affected products
• Adjustment against a future order
• Credit note
• Refund, where applicable
• Another mutually agreed resolution

7. Order Cancellation

Cancellation requests should be made before the order is processed or dispatched.

Once a bulk order has entered production, packing or dispatch, cancellation may not be possible.

For customized or specially prepared orders, cancellation terms may differ based on the agreement between ASTIN Aroma and the customer.

8. Refunds

Where a refund is approved, the refund amount and method will be communicated to the customer after verification of the claim.

For B2B transactions, refunds may be processed through the original payment method or handled through an agreed commercial adjustment or credit note.

Processing time may vary depending on the payment method and banking/payment provider.

9. Shipping & Return Costs

If an incorrect or damaged product is supplied due to an error attributable to ASTIN Aroma, the appropriate return/replacement arrangement will be determined by our team.

For other approved returns, shipping and handling costs may be the responsibility of the customer, depending on the circumstances and agreed terms.

Our team will review the request and provide the appropriate next steps.
